§ Be familiar with & operate to the Scope of Work (Schedule M) as defined in the Master Agreement.
§ Setup effective site FM team organization meeting the requirements of service delivery.
§ Perform as approver for site procurement, vendor selection and contracts management.
§ Set up Budget glide-path master plan and individual fiscal plan. Manage budget forecast Vs spend accuracy by effective monitoring of spend.
§ Setup site savings glide-path plan and respective fiscal plan and deliver to meet or exceed targets.
§ Ensure that all Sourcing & Procurement related documentation are maintained meeting CSA and IC audit requirements to achieve a minimum score of 8. Close out any issue actions called out.
§ Ensure to maintain Site occupancy related data with accuracy and uploaded onto OVSM tool on time.
§ Engage with Client representatives on timely manner to seek headcount forecast, setup relevant seating plan options and engage with Business Units for implementation.
§ Lead planning, coordination and execution of Site Blocking & Stacking plans in coordination with Transactions, Projects and Client representatives.
§ Perform periodic space utilization study in collaboration with Regional Occupancy planner and share with Client employees on behaviour changes to enhance utilization.
§ Ensure that KPI reporting is done on time and all documentation is IC audit friendly.
§ Setup a Site sourcing catalogue in collaboration with Service Owners, Projects team for both SRA and Capital (AE) projects to enable team to refer this one-stop-shop solution for sourcing and procurement needs onsite.
§ Assist in Scope definition for quotations, RFPs and coordinate to circulate the RFIs/RFPs for sourcing needs.
§ Setup contracts, LOIs, AMCs, PO’s in collaboration with service owners and manage validity & renewals for the same.
§ Participate in vendor evaluation exercise along with Service owners and upload onto on timely manner.
§ Assist with critical out-of-hours issues & participate as a key team member in responses to emergency situations
§ Provide backup support for the Cluster Leader in times of absence.
§ Liaise closely with the client on-site representatives to address problems and/or enhance working environment performance
§ Clearly document & communicate all client expectations to the FM team
§ Work collaboratively with facilities team colleagues both within the CLIENT Account & in the wider Jones Lang LaSalle network
§ Provide assistance in any other duties as assigned by the Cluster Leader or Senior Account Management on a needs be basis.
§ Performing internal and external benchmarking of costs per each service delivered and bring value through optimization, innovation and networking with peers from other accounts, organizations to drive best in cost model.
