Responsibilities:

 

  • Provide professional secretarial and administrative support/service for the department;
  • Handle office administration such as filing, mail sorting and database maintenance;
  • Prepare business correspondences, minutes, reports, proposals and other documents as instructed;
  • Manage telephone calls and schedule meetings, appointments and conference calls effectively;
  • Coordinate travel arrangements and booking of hotel accommodation for managers; and
  • Occasionally translate documents from English to Chinese and vice versa.

Requirements:

 

  • Form 7 or above with formal secretarial training. Candidates with an undergraduate degree will have a definite advantage;
  • Minimum 4 years’ experience in providing full spectrum of secretarial and administrative support to the department;
  • Proficient in MS Office with particular focus on PowerPoint, English typing and Chinese Word Processing;
  • Excellent command of written and spoken Cantonese, Engish and Mandarin;
  • Ability to support multiple tasks at the same time without sacrificing quality of work, precision and accuracy;
  • Well organized in procedures and practices with strong time management skills;
  • Knowledge of audio typing is preferred; and
  • Candidates with solid experience, strong communication skills in dealing with senior management and prior exposure working in a multicultural setting highly preferable.
